Scientific Administrator (Toxicology and Bioanalysis)

Job Purpose:

Work with operational colleagues to provide scientific and finance administrative support and perform receptionist duties. Work on continuous improvement initiatives.

Key responsibilities across scientific and finance administration, management of third party service providers and stock management.

Knowledge and Experience:

  • Exceptional written and spoken communication skills

  • High ability to schedule work and prioritize

  • Good understanding of the basic requirements for a GLP accredited Test Facility

  • High attention to detail and excellent record keeping

  • Having a professional appearance

Accountabilities:

Scientific Administration:

  • Performing financial administrative duties for the Dundee Test Facility, including, but not limited to processing orders placed for the site, updating purchase orders to coincide with the relevant invoices, taking receipt and logging in of goods and consumables, and ensuring the financial accounts department pay invoices as required.

  • Facilitating the scheduling of internal and external training and providing administrative support.

  • Providing administrative support for attendance at conferences and events and internal and external business meetings.

  • Facilitating the administrative implementation and maintenance of general Test Facility records.

  • Monitoring scientific administrative stock, ordering, and replenishing as required.

  • Managing third party service providers.

  • Performing deputy document control activities.

  • Performing super-user duties for Workday and TeamGantt.

  • Providing basic IT support in the absence of the IT administrator.

  • Taking minutes for internal meetings e.g. Health and Safety meetings.

  • Providing administrative support for the on-boarding of new scientific staff.

  • Receiving and logging in Test Items and Analytical Reference Standards.

  • Controlling the request and return of Test Facility keys.

SOPs:

  • Developing new or updating SOPs and relevant standard forms/templates as required.

Continuous Improvements:

  • Supporting and working on continuous improvement initiatives

Health and Safety:

  • Advocate for following all health and safety procedures.

  • Complying with Health and Safety requirements established for the site and proactively make recommendations for improvement.

Quality:

  • Maintaining a high level of quality and standardization in all work conducted.
